Part 1: Building the shift framework

Before using the Automatic staff scheduling, it can be helpful to create a shift framework with fixed and regular shifts. For example, janitors or cleaning staff can be entered here.

  1. Create shifts

Staff scheduling → Monthly planner → “+ new shift”

Create a shift without an employee at a specific time.

  1. Edit shifts

Right-click on shift → edit → time / notes

Change the time and add a note under “Notes.”

Info: The employee can also see this note.

  1. Delete shifts

Right-click on shift → delete shift

For practice, you can delete the shift you created in the previous step.

  1. Create employee shifts

Monthly planner → new shift → select → choose employee → select start and end time

You can filter by specific categories, e.g., by position or contract type.

If employees are shown in green, they are available and have the necessary qualification.

At the top, employees with the most remaining hours are listed.

  1. Select/deselect employees

 

Monthly planner → select shift

or

Monthly planner → open employee menu at top right

To select: → click on the shift with the employee OR → click on an employee in the employee bar

To deselect: → click the shift again OR click the cross above the employee bar OR click outside the shifts in the whitespace

  1. Delete shifts with employees

Right-click on shift → delete shift

 

  1. Create recurring shifts

Monthly planner → + new shift → enter time → enter repetition → set period →

There may be shifts that should occur regularly and have existed for a long time and should continue to exist.

Which shifts must always take place in your case and should not be generated automatically? Which shifts are mandatory and should therefore be included in the basic framework? Create a recurring shift.

  1. Edit recurring shift

Right-click on the shift → edit → this shift or all following shifts of the series

You can edit either the selected shift or all shifts in the series.

For example, add a note for all shifts in the series.

  1. Delete recurring shift

Right-click on the shift → delete shift → this shift or all following shifts of the series

You can delete either the selected shift or all shifts in the series.
