Part 2: Writing the duty roster
After you have built the framework, you can now plan automatically. The steps are explained to you below.
What? | Where? | Details |
---|---|---|
| Settings → Local settings → Automatic staff scheduling → Expand positions → Adjust/check shift lengths → Save if necessary | Before generating the shifts, you should check whether the shift lengths for the individual positions are correct. If necessary, these can be adjusted. |
| Settings → Local settings → Automatic staff scheduling → “Generate shift proposals” → Wait up to 5 minutes → Monthly planner | Earlier, we built our basic framework for the staff schedule. Now we want to have the remaining shifts created automatically around this framework. For this, we now want to use “Generate shift proposals”. This can take a few minutes. Back in the monthly planner, you will now see the empty shift proposals. In the next steps, these will be filled with employees. |
| Staff scheduling → Monthly planner → Expand employee menu → Select employee → Click shift | You can fill the empty shift proposals manually. If there are shifts for which you want a specific employee, you can do this in this step. |
| Monthly planner → Employee menu → Select employee → Click multiple shifts | If you want to assign an employee directly to multiple shifts, simply click the employee in the employee menu and then click the shifts one after another for which the employee should be assigned. |
| Monthly planner → Expand employee menu → Switch location at the top → Select employees from other locations → Click empty shift | If you have too few available employees at your location, you can display employees who can be borrowed from other locations. |
| Monthly planner → Automatic planning assistant → Select positions → Select period → “Plan automatically now” | Once the basic framework is in place, we can start the automatic planning assistant. Go to “Automatic planning assistant” at the top of the monthly planner. Check the appropriate boxes for the positions and select the period. Click next. After you click “Plan automatically now”, it will take a few minutes for the process to complete. In the last step, you will be informed how many shifts have been assigned and how many could not be filled. |
| Last step of the automatic planning assistant | Depending on how many shifts were assigned automatically, you will be asked at the end whether you want to post the remaining shifts. (More information will follow later) |
