Part 3: Fine-Tuning

After the automatic staff scheduling is completed, you may need to make some minor adjustments.

  1. Employees were scheduled too infrequently

 

Monthly planner → Employee bar → Check employee remaining hours

If employees are scheduled too little, there can be different reasons that should be checked:

  • Are the contract data entered correctly?

  • Are the qualifications and availability entered correctly?

  1. The employee planner

Staff scheduling → Employee planner

The employee planner offers a better way to display shifts for individual employees.

  1. Swap employees

Monthly planner / Employee planner → Right-click on the 1st shift → “Swap employees” → click on the 2nd shift icon

 

  1. Post shifts

3 options:

  1. Last step of the automatic planning assistant → “post all remaining shifts”

  2. Monthly planner → empty shift → Right-click → Post shift

  3. Monthly planner → top right → Post all unassigned shifts

Sometimes not all shifts can be automatically assigned. You can see this in the last step of the automatic planning assistant. When you click “post all shifts,” employees who have the required qualification receive a notification and can sign up for the posted shifts.

The same happens when you post individual empty shifts.

You can also post all unassigned shifts at once by clicking the megaphone icon at the top right in the monthly planner.

 

  1. Fine-tune the day planner

Staff scheduling → Day planner → Expand positions

If you want to make changes on specific days, we recommend using the day planner for editing. Shifts can be shortened or extended. Empty slots can also be filled with employees.
