Advertise shifts

The “Advertise shift” function allows you to inform employees about unassigned shifts so that they can assign these shifts to themselves. This feature was introduced in Nesto to enable those responsible for staff scheduling to better involve employees in the scheduling process and especially to support them in filling key shifts during times of staff shortages.

There is no longer a need to send messages via messenger, and it is transparent for all involved which shifts still need to be filled.

Which shifts can be advertised?

All shifts without assigned employees can be advertised in the monthly planner.

How can one shift be advertised?

You can advertise a single shift via the context menu (right-click) on a shift without an assigned employee.

How can multiple shifts be advertised at once?

Using the following icon, all unassigned shifts for a given period per Station can be advertised.

How can shifts be advertised after completing the automatic planning assistant?

After you have assigned your employees using the automatic planning assistant, it may happen that not all shifts are filled. In this case, you can publish the remaining open shifts for the same period. All employees who have the required qualification for the respective shifts and are not already scheduled in the staff schedule will automatically receive a notification on their My Nesto app.

How do employees find out that shifts have been advertised?

Each time new shifts are advertised, all employees with the required qualification receive a push notification. Advertised shifts are displayed under “Shift schedule” in the app.

Which advertised shifts can an employee accept?

We do not allow acceptance of a advertised shift if…

(Minus) it would overlap with a scheduled shift

(Minus) it would overlap with an absence

(Minus) rest periods would not be observed

(Minus) the maximum number of working days per week would be exceeded

(Minus) the maximum working time for marginally employed employees would be exceeded (provided this feature is activated)

(Minus) the shift would be too long (10 hours)

(Minus) the employee lacks the qualification for the station of the shift

(Minus) the employee belongs to another location but could be loaned

We do allow acceptance of a published shift even if

(Plus) minimum break times would be violated

(Plus) the shift falls outside the employee’s recorded availability

What happens when an employee accepts a advertised shift?

  • The employee sees the shift marked as accepted by them

  • The employee is informed that the shift only becomes valid once it is published in the staff schedule

  • Other advertised shifts overlapping with the accepted shift are no longer shown

  • In the monthly planner, the scheduler sees that the shift is now filled

  • The scheduler sees that the employee assigned themselves to the shift (and that the assignment was not made by the scheduler)

How does an employee find out that a shift they accepted has actually been scheduled?

As soon as the staff schedule is published, the shift is shown to the employee as part of the schedule instead of just as a shift they accepted. Thus, publishing a staff schedule serves as confirmation from the scheduler to the employee that the shift will indeed take place as planned.

Are employees from other locations who can be loaned informed as well?

Only employees from the same location receive notifications about published shifts. Employees who can be loaned may accept published shifts.

Why can’t I advertise shifts?

To be able to advertise shifts, the feature must be activated. For more information, please contact your supervisor.
